Customer Account Overview

An Account, also know as a Customer Account, is the entity that owns the project and can be considered your customer. An Account can be a Person or a Business.


Below shows how Customer Accounts relate to other entities.


Details

These are the high-level details for the Customer Account.

Account Type (required)

Either Person or Business.


Unique Account Name (required)

Name of the Customer Account (i.e. Sagan, Carl, Acme Services, Inc., etc).


Billing Address, City, State, Zip (required)

This is the billing address for the Customer Account. This is the address Invoices get sent to. This may, or may not, be the site address of the Project depending on Account Type.


Optional Shipping Address, City, State, Zip (optional)

This is an optional shipping address for the Customer Account. This may, or may not, be the site address of the Project depending on Account Type.


NOTE: These addresses are Customer Account billing addresses only and not necessarily job addresses. If the job/site address is different from the billing address, go into the project and edit the Site Address within the Project Details. If they are the same and you change the billing address here, you will also need to change the Site Address within the project.


Default Customer Account Rep (optional)

This is the User that owns the Customer Account. This let's staff know who has previously worked with this account.


Account Comments (optional)

Any additional comments or notes pertaining to the customer can be added here. NOTE: These SHOULD NOT be job specific comments. Only comments that pertain to the Account.



Contacts

These are the real people contacts that belong to the Customer Account. A Customer Account can have many Contacts.


Files

These are uploaded files related to the Customer Account. NOTE: These files pertain specifically to the Account and not the place for any Project related files or photos.


Projects

These are the Projects the Customer Account owns. More detailed Customer Account / Project analysis can be done in various reports.


Customer Portal

Payments

These are the Payments the Customer Account has made. NOTE: Customer Accounts own Payments. Any unapplied credit the Customer Account has will be listed here.


QuickBooks References

Log

These are notes related to the Customer Account. All changes to the Customer Account are documented here.


Utilities

This is where a Customer Account is merged or deleted.


To merge one Customer Account into another, mark the Merge Designation as either to KEEP - Good Contact, or DELETE - Remove contact. Then visit Settings, Api Data Integrations, then Data Merge to complete the process.


A Customer Account can only be deleted if it is not related to Projects or Payments.
