Event Overview

A Company Event is a business plan that allows you to limit and segment your trades, sales and estimating processes, materials used, suppliers, and subcontractors for a given event.


Events are useful in limiting the type activity for a particular location or segment of projects.


An Event is required to create a Project.


Details


These are the main details for the Event which include the Event name, Event location details, and Corporate Alias details.

Name (required)

This is a unique name for the event. It is best practice to add a location and date in the name.


Description

An optional description for the Event


Status

Status for the Event. Only Active Events can be used within Projects.


State (required)

This is the state in which the event occurs.


Zip (required)

This is the zip code in which the event occurs.


Area

Enter additional, more detailed, area information in this text box (i.e. cities or regions affected)


Optional Corporate Alias

Corporate Name, Billing Address, City, etc.

This is useful if you have multiple offices within the same area but want all correspondence to come from a main corporate name and address.


If entered, all printouts including invoices, estimates, etc will default to this address.



Event Duration


Event Duration allows you to set a start and end time of the Event. If a duration exists, this event will only be available for use if the project creation date falls within the duration dates. Leave these dates blank if you wish to make this Event available for use anytime.

Start Date

This is the date the event started.


End Date

This the date the event is expected to end.

IMPORTANT: Once the end date has passed the event will expire and will no longer be available for use. Therefore, upon nearing the end date and you wish to continue adding projects to the event, you may want to think about extending the end date. If you are running all projects under a single event and have no plans of using this feature, extend the end date out a few years to avoid an expiration.


Note: Contractors Cloud Classic (old version) requires a duration in order be used in Classic.



Event Tax Codes


This is where jurisdictional tax codes are created. Tax codes are used in Estimates and Invoicing. If there are more than one tax jurisdictions within your area (i.e. State, County, and city Taxes) you would create one tax code to include all of them with a combined rate.


By default, all active Company Tax Codes are available to use within transactions. If any Tax Codes are added to this Event, then these are the only Tax Codes available for use in transactions.



Event Estimate Types


If checked, these are allowed estimate types for the Event. This is useful if you wish to limit certain sales activities for certain areas or segments of projects.

Note: Contractors Cloud Classic (old version) requires estimate types to be checked in order be used in Classic.



Event Trades


These are the Tenant Trades available for use in a Project with this Event. Even though you have many Tenant Trades available, adding trades here limits what trades can be used in Estimates and Orders within Projects using this Event.


If no trades are listed here, then all of your Tenant Trades are available for use.

Click the three vertical dots to import Event Trade settings from another Event.


This is useful if you are working in area where want to limit what trades you can perform. Maybe, in your home area, you do everything under the sun.


But maybe you decide to work in a different location and it is only profitable to perform only a few trades, then you may want to limit the trades you do for this Event.


Note: Contractors Cloud Classic (old version) requires trades in order be used in Classic.



Event Material Lists


These are the Material Lists available for use in a Project with this Event. Even though you have many Material Lists, adding lists here limits what can be used in Estimates and Orders within Projects using this Event.

Click the three vertical dots to import Material Lists settings from another Event.


This is useful if no longer sell/carry a particular project or system or you are wanting to limit what trades you do within an Event.


Note: Contractors Cloud Classic (old version) requires material lists in order be used in Classic.



Event Suppliers


These are the Suppliers available for use in a Project with this Event. Even though you have many Suppliers within your Contacts, adding lists here limits what can be used in Orders within Projects using this Event.

Click the three vertical dots to import Suppliers settings from another Event.


This is useful if you are working in a location with limited suppliers.


Note: Contractors Cloud Classic (old version) requires suppliers in order be used in Classic.



Event Installers


These are the Installers available for use in a Project with this Event. Even though you have many Installers within your Contacts, adding installers here limits what can be used in Orders within Projects using this Event.

Click the three vertical dots to import Installers settings from another Event.


This is useful if you are working in a location with limited installers.


Note: Contractors Cloud Classic (old version) requires installers in order be used in Classic.



Event Projects


These are the Projects using this Event.

Visit the Reports section for more detailed analysis of Event/Project relationships.
